If you want to invite third-party specialists to work on your Webflow website, you must share appropriate access with them. This includes inviting people to view your project from inside the Editor, being able to change content, or giving the freedom of changing visuals in the Designer too.
Now, there are a lot of tutorials from Webflow on how to manage your workspace and team members from inside an account. But this information can be confusing due to the sheer amount of details and recent updates on the platform, which sometimes contradict the instructions in previous guides. So we compiled this up-to-date overview to help you navigate the Webflow website access you share with others.
In this article, we will explore:
We will start with the basic access you can give.
If you want to share your Webflow website as a project for someone only to view it but not be able to change anything, then you will need to invite people to visit read-only mode.
To do this, you can share a link. Open your project and look at the top-right panel of settings. Press the arrow symbol of the “Sharing project,” which is left to “Publish.” You’ll see a drop-down menu; click the “Share read-only link” toggle. Copy the generated link from the panel below. Now you can share your project for viewing.
Previously known as “Collaborators,” you can invite Content editors to view the project and make changes to the content from the Editor mode. Those changes will be saved, and your website will be updated. Content editors, however, still cannot access the Designer mode. This means a Content editor can make changes through the Editor but can’t temper the website look through the Designer mode, decreasing the risk of breaking something in your UX and UI. So no changes to layouts, styles, and interactions with this type of access.
To add a Content editor, go to the same top-right panel inside your project. Access the “Sharing project” menu, and under the “Share read-only link,” click the “Invite content editors” button.
In the appeared window, you will need to put in the email address of the person you want to give access to.
Click “Send invite,” and you are done. They will receive an invitation with a link in their mailbox and will be able to access your project from here.
Remember, the number of people you can invite depends on the number of Seats available in your plan.
In the previous platform version, this section was known as “Team Members.” The Webflow team re-named this tab and changed the path a bit, but the idea behind it remains the same.
So you can add a permanent member to your team. Team Members can have different roles and permissions, which can be assigned and managed by the owner.
To add a new Member, go to your Account options on the main top dashboard. Select “Workspaces” from the list in the appeared drop-down menu.
Choose an existing workspace or Create a new one with the right button. Clicking the workspace will take you to the settings, and here you will see the panel with different tabs. Pick the “Members” tab, and scroll down to the “Agency or Freelancer Guests” section.
On the right, you will see the “Invite guest” button you will need to click.
From the opened window, input an email of a person you need to share access to and Send an invite. They will receive your invitation with a link in their mailbox and will be able to access your account from there.
So what is the actual cost of adding a developer to your project on Webflow? This depends on several things.
To make it clear, there are two types of plans:
Those two serve different purposes. To give access to a Content editor, you will need to have a CMS Site Plan first. In the case of managing a team, we are interested in the plans for Workspaces since this one will allow us to add a number of participants. If you want more information on the rest of the plans, we have a separate article on that: an overview of all Webflow prices.
If you have a free “Starter” plan, you will need to upgrade it since this plan only allows one person to work on a project (and you already occupy that position). Plans are accessible from your workspace of choice. Go to the Account drop-down menu, choose Workspaces, and either select the existing one or click “Create Workspace” to set up a new one. When you click on a workspace, it takes you to the settings. There’s a panel with different tabs on top: from here, you can pick the Plans tab. Since you will be setting up your own website, choose the “For in-house teams” section. Here you can see the selection of available packages and the features offered in each of them.
When adding guests to a workspace, we are interested in the amount of “Seats”: the number of people you can invite to join you.
The “Core” plan is optimal for small businesses and is “The most popular,” as marked by Webflow. This plan allows a maximum of 3 seats for invited collaborators at $19/month per seat if billed annually or $28 if billed monthly. Every next plan allows more seats, so choose depending on your needs and the size of the team you plan to work with.
To conclude, there are several options for giving access to your Webflow website:
Now that you know how to add a collaborator on Webflow, share your project and bring your associates into the game!
